Car Rental Guide: Golden Rules to Avoid Surprise Costs
Renting a car can turn your vacation or business trip from a hassle into absolute freedom; however, not reading the "fine print" in contracts can lead to unpleasant surprise extras on your card upon returning from vacation. From provision refunds to "Full Insurance" misconceptions, fuel policies to HGS fees, all the tips for renting like an industry professional.
After landing at the airport and collecting your luggage, the moment you receive the keys to your rented car and turn the ignition is undoubtedly the most enjoyable moment of the trip. From that moment on, you are the sole master of the route, music, and time. However, to prevent this immense feeling of freedom from turning into a nightmare or an unexpected bill crisis upon returning from vacation, there are some extremely critical details (often quickly overlooked by companies) that you need to know and pay attention to before signing.
For example; "They told me it was Fully Insured, but why did they ask me for money when the tire burst?", "It's been 5 days since I returned the car, why hasn't my deposit (provision) been refunded to my credit card?", "My spouse sitting next to me drove the car for an hour, we had a minor accident, and why did the insurance refuse to cover the cost?"
In this comprehensive guide, we have gathered, with full transparency, the "unwritten" rules that are usually hidden on the bottom pages of rental companies' counters or websites but are essential for your financial security.
💳 Financial Literacy: The Reality of Provision (Deposit)
When you rent a car, apart from the daily rental fee, a certain amount (varying according to the car's segment, for example, between 3,000 TL and 10,000 TL) is blocked on your credit card. Many customers panic, thinking this money has completely left their account. However, this is not a "purchase/spending" transaction but a "Blockage (Pre-Provision)" transaction in banking terms.
Why is it Blocked?: This amount is to secure the company against any traffic fines (EDS, Radar), HGS/OGS toll fees, or if you return the car with less fuel after you return the vehicle.
- When you return the car without any issues and with a full tank, the rental company instructs the bank to "lift the blockage".
- However, the reflection of the money on your card (due to banks' legal processes) can take 1 to 7 business days and up to 15 days for international cards. You should consult your bank before blaming the company.
- Golden Rule: The provision can only be blocked from a physical credit card with the name of the main driver who signed the contract. For security reasons, provision transactions cannot be made with someone else's card (even if it's your spouse's), debit, or virtual cards. You cannot receive the car!
1. Questions to Ask During the Reservation Stage
The very cheap daily rental price you see online is sometimes just an illusion. The actual cost is determined by the following details:
⛽ Fuel Policy (Don't Fall for Tricks)
The most fair and transparent fuel system worldwide is the "Full to Full" (Take Full / Return Full) system. When you receive the car, the tank is full; you refill it just before returning (at the nearest gas station to the airport or office) and return it with the receipt. You only pay for what you use.
However, some companies apply the "Take Full / Return Empty" system and charge you the first tank of fuel at a price much higher than the market rate. Also, you are never refunded for the half tank left when you return the car. Be sure to ask what the policy is.
📏 Mileage Limit and Overrun Penalties
The car you thought you rented for "500 TL per day" might have a daily "150 km" limit. If you rent from Istanbul and plan to go to Antalya (Round Trip 1,400 km) and exceed this limit, you may face a very serious bill per kilometer (e.g., 3 TL) upon return, which can exceed your rental cost. If you plan to travel long distances between cities, be sure to choose "Unlimited KM" or high quota packages that will cover your route.
🛣️ How HGS/OGS Toll Fees Are Collected?
Most rental cars are equipped with an automatic HGS device for toll roads and bridges, allowing you to pass without waiting. You do not pay these tolls in cash at the booth. After returning the car, the toll records are retrieved from the Highways, and the total toll fee + (if any, 15-20% service fee) is deducted from your blocked provision, and the remaining amount is refunded to you.
2. When Receiving the Car (Inspection Moment and Video Recording)
The staff delivering the car at the airport may be in a hurry, but you should never rush. A detailed inspection of 2 minutes in the parking lot can save you from thousands of liras in unfair payments for a scratch you didn't make upon return.
-
📹 Proof is Everything: Video Recording
Photos alone are not enough. While the staff is with you, open your phone's camera; take a full tour around the car, slowly recording scratches on the body, dents under the bumper, mirrors, scuffs on the rims, and even stone chips on the windshield. The date/time stamp on this video is your biggest legal proof.
-
⛽ Fuel and Mileage Verification
Turn on the car and take a photo of the dashboard. Ensure that the fuel level (e.g., 6/8 or Quarter Tank) and current mileage match exactly with the numbers written on the printed contract you received.
-
❄️ Essential Equipment Check
Especially in summer, make sure the air conditioning cools properly, in winter, that the wipers work without leaving streaks, and that the signals and headlights are working before leaving the parking lot. If you notice these after you start driving, returning will interrupt your vacation.
-
📄 Legal Documents and Registration
To avoid issues during a police check, verify that the original vehicle registration (or a notarized copy) and the Compulsory Traffic Insurance policy are present in the glove compartment with valid dates.
3. Insurance, "Full Coverage" Illusion, and Additional Driver Trap
In the car rental industry, the term "Full Coverage" is unfortunately often used misleadingly. Standard insurances typically cover major damages where two vehicles collide and must have a police report (with an alcohol report). However, the following details are outside the standard coverage:
-
⚠️ LCF (Tire, Glass, Headlight) Insurance
Falling into a pit and bursting a tire, a stone bouncing off the road and cracking the windshield, or someone breaking your headlight in a parking lot are not covered by standard insurance! To protect against such common damages, it is highly recommended to pay a very small amount daily for "LCF Additional Coverage" or "Super Insurance".
-
⚠️ Mini Damage Coverage (Repair Without Report)
Having the car door scratched in a parking lot while you're away or scraping the bumper on a bollard are incidents where calling the police is impractical, and the police often do not come. Insurance does not cover any damage without a police report. That's why if you purchase "Mini Damage Insurance", you can have scratches and dents (up to 5,000 TL, for example) repaired with a single statement, without paying a penny out of pocket.
-
🚨 The Most Critical Item: Additional Driver Registration!
You rented the car. You got tired on the road and said, "My spouse will drive for just 1 hour." If the car gets involved in an accident during that 1 hour, even if the car has "Full + Full Insurance", the INSURANCE IS ABSOLUTELY INVALID! The company will collect all accident costs (hundreds of thousands of liras) from you in cash. Because rental cars can only be driven by the persons named in the contract (whose licenses are provided). If more than one person will drive the car, you must present the other person's license at the rental counter and register them as an "Additional Driver" for a very small daily fee.
